How a fast-growing Dutch food broker went from 4 hours to 30 minutes per compliance request, with better answers and happier customers.

The Funny Food Factory is a fast-growing food broker based in the Netherlands. They help customers find product solutions and help suppliers get their products to market. When Yvette Thewissen joined as the sole Quality Manager, the compliance workload was already significant. As the company grew, it became unmanageable.
Spec sheets. Supplier questionnaires. Customer qualification forms. Each one landing on one desk.
The problem
On average, each request took about four hours to handle. Yvette was the only person on the team with enough quality knowledge to know what could be shared and what could not. When she was busy, requests waited. When customers followed up, the answers were not always what they expected.
The back-and-forth was constant. Sales cycles were slowing down because compliance responses were taking too long. The question the team faced was straightforward: hire another person, or find a better system?
How we started working together
Yvette came across Passionfruit at a food safety event with a colleague.
"My colleague and I looked at each other and said, we need to talk to those people."
She reached out, we had a first conversation, and they decided to move forward. Part of what made the decision easier was the fit between two companies at similar stages.
"We are a very small company, and we wanted to work with a smaller, startup company too, because we had been in their shoes not long ago. We wanted to build something together."
What implementation actually looked like
Funny Food Factory was onboarding another system at roughly the same time.
"We onboarded another system around the same time. This was much smoother than that one."
Before the kickoff call, we sent setup materials, installation instructions, and access details. The first session included a live questionnaire walkthrough together. The first two weeks had regular check-ins to identify gaps and work through them.
Within three months, Passionfruit was being used for 100% of applicable questionnaires.
What changed

Response time dropped from four hours per request to thirty minutes. The team went from one person who could handle compliance requests to a team where anyone could pick one up.
"Even staff without deep quality knowledge can now fill out requests."
The accuracy question comes up in almost every conversation we have about AI tools for compliance work. Yvette's answer is direct.
"Out of 10 questions, 9 are usually answered correctly. Maybe one is incomplete or missing some information."
For the cases where the answer is not quite right, the fix is usually a better question, not a better system.
"If you phrase the question slightly differently, you get the answer you were actually looking for."
The impact was not only internal. Four customers called to ask what had changed about their responses. Unprompted.
"Customers literally called us to ask what we changed. More complete answers, faster turnaround, and we spend 75% less time per questionnaire internally."
The use case also expanded beyond what they originally planned. Yvette's team now uses Passionfruit to answer internal questions from the quality handbook, not just external questionnaires.
"We started asking Passionfruit those questions instead of searching through our own database ourselves."
What if you took it away
We asked Yvette exactly that.
"There would be questions where I would have to search through all the documents myself again, rereading things I haven't looked at in a while. That would be a lot of work before we could even finish a questionnaire. We would go from thirty minutes back to two hours."
And then:
"Our customers would be a lot less happy. And I'd go back to spending 30% of my week on forms."
